How to organise shifts in hospitality without losing your mind
WhatsApp, Excel, paper... If you manage shifts like this, you're losing hours every week. We show you how to organise hospitality schedules efficiently.
If you manage shifts in a restaurant, you know what I'm talking about: the WhatsApp group with last-minute changes, the Excel file nobody updates, the 7 a.m. phone calls because someone didn't know they were opening. Organising shifts in hospitality shouldn't be a full-time job, but it often feels like one.
In this article I'll show you how to go from chaos to control, with a system that saves you hours every week and that your team understands without any training.
The three methods that don't work
1. The WhatsApp group
It's quick, sure. But it has a fundamental problem: information gets lost. A message with the week's schedule gets buried under photos, memes and conversations. Nobody searches for it, nobody saves it, and when someone doesn't show up because "I didn't see it", the system gets the blame (in other words: you do).
On top of that, changes get negotiated in private chats and are never reflected anywhere central. The result: you're the only one who knows who works and when, and if you fall ill, the venue grinds to a halt.
2. The shared Excel file
Better than WhatsApp, but with serious limitations. Every change requires someone to open the file, edit it and save it. If two people edit at the same time, changes get overwritten. There are no notifications: employees have to remember to check the Excel file. And designing a readable template for 10-15 people with split shifts is an art that takes more time than it seems.
3. The paper rota
The hospitality classic. A sheet hanging on the staff-room wall with the schedule written by hand. It works if you have 3 employees and a single venue. With more, it's a disaster: crossings-out, corrections, and employees who don't drop by the venue to check it and call to ask.
What do you actually need?
After managing restaurant shifts for years, I can tell you that the minimum you need is:
- A clear weekly view: see at a glance who works each day, in which time slot and at which venue.
- Reusable templates: if your standard schedule looks similar every week (and in hospitality it does), you should be able to apply it with one click.
- Automatic notifications: when you publish the schedule, your team gets an alert. Without having to message people one by one.
- Real-time changes: if someone falls ill and you change a shift, the change shows up instantly for everyone.
- Conflict detection: the system warns you if you schedule someone without respecting the 12 hours of rest between working days.
Shift templates: the key to not reinventing the wheel
In hospitality, 80% of the weeks look the same. You have a winter schedule and a summer one, with slight variations. Why design the rota from scratch every week?
With a template system, you define your standard schedule once (for example, a "WINTER template" with the shifts from Monday to Sunday) and then apply it every week. You only adjust the exceptions: holidays, sick leave, special events.

It seems like a minor detail, but when you're doing the rota on a Sunday night (yes, we've all been there), the difference between dragging a shift and redoing the whole row is huge.
Shift labels: organise by time slot, not by person
Another concept that greatly simplifies planning: shift labels. Instead of thinking "Ana works from 9 to 15", you think "I need 2 people on the MORNING shift and 3 on the AFTERNOON shift".
Each label has a colour, a name and a predefined time range (for example, MORNING = 09:00-15:00, blue). When you assign a label to an employee on a given day, the system already knows the hours. You don't have to type them every time.
You can also view the week grouped by shift type instead of by person. That way you spot at a glance if you're short someone on Thursday afternoon, without having to count row by row.
Publish and notify: goodbye to "I didn't see it"
A perfect rota is useless if your team doesn't see it. The key step is to publish the schedule and have the system send a push notification to every employee. That's how the "I didn't know I was on" excuse disappears.

Holidays and rest days built in
One of the big problems with managing shifts in Excel or on paper is that holidays live somewhere else. A good system integrates holidays and rest days directly into the schedule. If Ana is on holiday, her row appears blocked and you can't assign her shifts on those days. As simple as that.
Checklist to get started
- Define your shift types (morning, afternoon, split, closing...) with fixed hours.
- Create one template per season (winter, summer, public holidays).
- Log approved holidays before building the rota.
- Publish the schedule at least 5 days in advance (besides being good practice, many Spanish collective agreements require it).
- Use automatic notifications so that nobody can say they didn't see it.
